Job Description

Basic-Fit is growing at a fast pace, and our finance operations have to scale with it without growing at the same rate. We are looking for a Head of Finance Operations who leads the teams that run Invoice-to-Cash, Purchase-to-Pay, Payroll and Accounting, and makes them faster, more accurate and increasingly automated. In this role, you lead your teams to getting the numbers right at the source, so we don’t need to spend time downstream to fix them. That is how Finance helps deliver our high-value, low-cost promise to our members.

Do you want to help make fitness accessible to all by building finance operations that scale? Are you analytical, do you act fast, and do you enjoy working in a growing company? Then please keep reading!

This is what your assignment looks like:
As our Head of Finance Operations, you lead four teams of about 50 colleagues in total, most of them centralised in Hoofddorp, with a second hub in Madrid and a handful of colleagues in other European countries. You report to the CFO and are accountable for keeping day-to-day operations reliable while you steadily make them faster, simpler and more automated.

Invoice-to-Cash: For B2C you lead the collection of monthly payments from our 5.0M+ members, including follow-up when they don’t pay, while keeping a positive relationship with them. For B2B you oversee billing and collections of our franchise, personal trainers and advertisement partners.

Purchase-to-Pay: Manage the processing and payment of the 20,000+ invoices we receive every month accurately, on time and with as little manual handling as possible. You lead our in-house P2P team, which works from two hubs Hoofddorp and Madrid.

Payroll: Oversee payroll for our 10,000+ employees, so they are paid correctly and on time every month, in line with the laws and regulations of each country. Our payroll team works mainly from Hoofddorp, Madrid and Lille, with a few colleagues in Belgium and Germany. Together they cover all our operating countries.

Accounting: Lead the recording of every transaction for our 2,000+ clubs in the general ledger in a correct, complete and timely way, and close the books quickly each month.

You are the link between finance operations and the rest of the organisation. You work with the business, FP&A, Corporate Control, IT and our external partners to find where processes create friction, agree what needs to change, and make it happen.

You are based at our headquarters in Hoofddorp, the Netherlands, and travel occasionally to your teams in Madrid and our other operating countries.

Your responsibilities will be:

  • Lead the teams. Guide your team managers and team leads across locations and languages, develop their capabilities and build a strong, shared way of working across sites
  • Own performance. Take accountability for a small set of balanced KPIs per process, such as close lead time, cost per transaction, first-time-right rate and collection rate, and use them to steer your teams.
  • Make processes right at the source. Improve the quality of the data and bookings where they originate, so that errors are prevented rather than corrected downstream.
  • Automate where it scales. Define and deliver the automation roadmap together with IT and Finance Transformation, so that volume can grow with our club network without a proportional increase in headcount.
  • Run an accurate and swift close. Guide Accounting to a reliable month-end close and keep shortening the close cycle to reduce time-to-insight.
  • Collect smartly. Lead collections across our markets, improving the collection rate while protecting the relationship with our members and partners.
  • Pay accurately and on time.  supplier payments so that invoices are processed and paid on time and with as little manual handling as possible. Oversee payroll so that our employees are paid correctly every month, in line with the laws of each country.
  • Safeguard control and compliance. Ensure compliance with our internal control framework, together with our Risk team.
  • Partner with the business. Work with the business, Corporate Control and Business Finance to remove friction and turn what you learn in operations into better finance processes and better decisions.

We ask:
You are an analytical, hands-on leader who sees the big picture, makes decisions using both data and judgement, and gets things done. You also bring:

  • A degree in Finance, Accounting, Business Administration or a related field;
  • At least 8 years of proven experience in a finance operations management role in an international environment;
  • Experience leading teams across multiple locations, countries and languages;
  • Proven track record in process improvement and automation, ideally in a high-volume transactional environment;
  • Solid knowledge of ERP systems, preferably SAP;
  • Energy for a fast-growing, entrepreneurial organisation: you are comfortable with change and ambiguity, you choose practical solutions over perfect ones, and you keep control while doing so;
  • Strong understanding of internal control and compliance in finance processes;
  • The ability to use KPIs to steer teams, and the judgement to see where a metric can create unwanted behaviour;
  • Strong stakeholder and communication skills, including the ability to explain choices to non-finance colleagues;
  • Fluent in English, with a preference for a second language (Dutch, French, Spanish or German).
