As Customer Service Specialist, you play an important role in supporting our Market Managers and Master Distributors in West Africa. You ensure smooth coordination between customers and our internal teams, helping us deliver on our commercial commitments and build strong customer relationships.

KEY RESPONSIBILITIES:

• Provide day-to-day commercial and operational support to our Market Managers and Key Account Managers, working closely with internal stakeholders to keep activities running smoothly;

• Act as the main point of contact for customers regarding orders, production progress, delivery schedules and invoicing. Maintain clear, proactive and professional communication;

• Enter sales orders and keep order information up to date, including expected shipment dates.

• Monitor production progress, identify delays and risks, and ensure Key Account Managers receive timely updates;

• Represent customer needs in discussions about priorities and planning. Coordinate closely with Production, Logistics, Finance and Sales to ensure alignment and resolve issues;

• Support the preparation of pro forma invoices and follow up on customer payments. Maintain constructive communication about payment deadlines and outstanding balances;

• Plan and coordinate shipments, both as part of annual planning and on a shipment-by-shipment basis. Track deliveries, manage the required documentation and liaise with logistics partners at Vlisco and our distributors to support on-time delivery;

• Handle customer questions, complaints and other after-sales matters, ensuring they are followed up professionally and efficiently.

QUALIFICATIONS:

• MBO-level qualification;

• 5+ years of relevant work experience;

• Fluency in French and English, both written and spoken. Knowledge of Dutch is an advantage;

• Experience working with ERP systems and BI tools;

• Strong analytical skills and the ability to understand processes, monitor performance and maintain oversight across multiple distributors;

• Demonstrates flexibility and resilience when faced with ambiguity and constant change;

• A structured and proactive approach, with strong communication skills and the ability to coordinate effectively across teams and cultures.
