Job Description

Do you get energy from keeping a busy shipment schedule under control, and are you the person traders, logistics and customers rely on when things get hectic? Nedstar is looking for an experienced Sales Operations Specialist who makes sure every shipment is planned, documented and communicated on time and first time right. About our company Nedstar is an international trading company working with customers and partners across the globe, from a centuries-old canal house office on the Herengracht in the heart of Amsterdam. We are growing fast and professionalising every part of our business as part of our ambition. Sales Operations is at the centre of that: the team that turns a deal into a smooth, reliable delivery. We are looking for someone with real experience behind them: 4 to 8 years in sales support, customer operations or sales operations. You know the craft, you work independently, and you want a role where you can own a customer portfolio and grow towards Sales Operations Manager. The role Your mission: make sure customer documentation and shipment planning run on time and first time right, so customers experience Nedstar as reliable and traders can focus on trading. You are the calm, anticipating link between customers, traders, logistics, finance and shipping lines. You own your own portfolio of accounts end to end and act as the customer's trusted second point of contact alongside the trader. When an incident lands in the inbox, you respond fast and firmly, because you already have an overview of everything coming up. You work in a small, international team and collaborate daily with: Traders – order details, customer updates and escalations Logistics – supplier documents, loading planning and ETA changes Finance – invoicing, payments, order release and hedging Quality & Sustainability – certificates and product documentation External partners – customers in different regions and time zones, shipping lines and forwarders Key responsibilities Documentation & compliance – Independently prepare and issue the full customer document set (invoice, packing list, certificate of origin, B/L, switch B/Ls, waivers) within deadlines. Proactively flag missing supplier documents and compliance gaps. Shipment planning – Manage loading plans for your portfolio, translate customer requests into planning changes, and send a weekly shipment planning to every customer. Customer service – Be the reliable second point of contact for your accounts: answer queries quickly, keep customers informed without being asked, and resolve most issues yourself. Problem resolution – Handle documentation delays, planning conflicts and minor complaints independently. Escalate deviations with commercial impact to the trader, always with a proposed solution. Systems & administration – Keep all shipment events (ETD/ETA, sales orders, credit notes) complete and up to date in Agiboo and HubSpot. Payments & order release – Verify incoming payments, authorise order release and coordinate with Finance on late or partial payments and hedging related to customer orders. Commercial awareness – Monitor open contracts and alert traders to opportunities or risks you see in daily operations. Continuous improvement – Spot inefficiencies, propose better ways of working, explore AI and automation, and help onboard and support new colleagues. Who you are You are professionally mature: you know the craft, work independently and don't need follow-up. You thrive in a busy, fast-paced environment, stay calm when several stakeholders and time zones need something at once, and you find real satisfaction in recurring work done well. What you bring 4 to 8 years of experience in sales support, sales operations or customer operations, ideally in an international trading, export or logistics environment A university degree or HBO working and thinking level Fluent English, spoken and written Solid working knowledge of export documentation and shipment execution (road and sea container) Strong planning skills: you keep an overview of all upcoming deadlines and manage competing priorities Sharp attention to detail: you check your own work before it leaves your desk Reliability and follow-through: you chase logistics, suppliers and shipping lines until it is done Assertiveness: you can say no, set priorities and hold your position with traders, customers and partners A solution-focused mindset: you raise a problem together with a proposed fix Confident with Excel; experience with an ERP or CRM such as Agiboo or HubSpot is welcome but not required Nice to have French and/or Spanish Interest in AI and automation to make operations faster and more accurate What we offer A full-time role with real ownership in a dynamic, international and friendly team A clear growth path towards Sales Operations Manager and Senior Sales Operations Manager Development opportunities, including language classes, training courses and coaching A competitive salary package and an open, fun-loving company culture Regular social activities, including boat trips and annual company trips Free, healthy office lunches and flexible working hours for a good work-life balance A centuries-old canal house office on the Herengracht in the historic heart of Amsterdam Interested?
