Job Description

HR Manager (20 hours per week) Hybrid | Vianen & Home | Reports to the General Manager WHY WEGROW WeGrow moves fast. We are the cross border shipping partner that growing European ecommerce merchants choose because we are quicker, cheaper and more flexible than traditional carriers. We sit between merchants who need reliable B2C shipping across Europe and the carrier networks that deliver it, and we obsess over making that connection faster and smarter every day. We operate with freedom and ownership. Every person at WeGrow treats client problems as their own problems and picks up the ball without waiting to be asked. If that sounds like the way you already work, keep reading. ROLE OVERVIEW As HR Manager, you run the HR department of WeGrow. This is a part time position of 20 hours per week. You own the full employee journey, from the moment a new colleague signs their contract to the day they leave, and everything in between: payroll, contracts, absence, evaluations and the questions people bring to HR every day. These tasks are currently handled by our management team. Your job is to take them over, make them your own and build an HR function that keeps pace with a fast growing company. This role suits someone who is precise with payroll and paperwork, is trusted by colleagues with sensitive questions, and sees a messy process as an invitation to fix it. You will be judged on two things: a flawless monthly payroll cycle and HR processes that run without anyone having to chase them. WHAT YOU WILL OWN Payroll & HR Administration (40% of your time) Monthly payroll: collect all salary changes and mutations, get internal approval and submit them to our payroll administration on time, every month. Payroll payments: prepare and deliver the SEPA files for net salaries and payroll taxes (loonheffingen) so everyone is paid correctly and on time. Employment contracts: draft contracts, amendments and extensions based on our templates, and track the end dates of fixed term contracts so no deadline is ever missed. Personnel files: request, check and store all required documents of new employees in the payroll portal, and keep every personnel file complete, current and GDPR (AVG) compliant. Employee Lifecycle (30% of your time) Onboarding: register new employees with our occupational health service (Arbo) and pension portal, and make sure every new colleague has a smooth first day and first weeks. Offboarding: handle everything when an employee leaves, from final settlement and documents to deregistration in all portals and an exit conversation. Evaluations: prepare and attend evaluation meetings, record the outcomes and follow up on the agreed actions. Absence management: handle sick reports, stay in contact with the company doctor and make sure every case follows the Wet verbetering poortwachter. Recruitment support: help managers with vacancy texts, candidate planning and a smooth hiring process. Employee Support & HR Processes (30% of your time) HR mailbox: own the HR mailbox and be the first point of contact for every HR question, answering quickly and clearly. Process ownership: manage and improve our processes for holiday requests, sick reports and evaluation meetings. If a process is missing, build it. Policy and compliance: keep the employee handbook and HR policies up to date and stay on top of changes in Dutch employment and payroll legislation. HR reporting: track headcount, absence rate and employee turnover and share clear insights with management. Automation: use smart tools and AI to automate repetitive HR administration, so your time goes to people instead of paperwork. OUR CULTURE WeGrow runs on a small set of rules that shape how everyone here works, not just what they do. Extreme ownership: you are fully responsible for outcomes, end to end, not just for tasks or effort. If you don’t own it, you don’t control it. Communication: when an issue lands on your desk, you don’t just forward it. You add context, structure and priority, and you stay on it until it is closed. Structural problem solving: fix the root cause, not the symptom. If there is no process, build one. If a process is not working, fix it or replace it. Speed and urgency: we plan in days and weeks and move as fast as we responsibly can. If something becomes urgent, it is already late. Self management: being busy is not a badge, it is a problem. Prioritize, plan ahead, and fix the system by delegating, automating or hiring. The rules we live by: no internal politics. “I’m busy” is banned. Never bring a problem without a potential solution. Best idea wins, no matter who it comes from. Progress over perfection. The customer is king, always. WHAT YOU BRING Required Proven experience in an HR generalist or HR officer role, including payroll administration. Solid knowledge of Dutch employment law and the Wet verbetering poortwachter. Accuracy and discretion: you handle salaries and personal data with care and confidentiality. Strong communication skills. Approachable for colleagues and direct when needed. A proactive, self motivated, problem solving mindset. Fluent Dutch and English. Nice to have Experience in logistics or a fast growing scale up. Familiarity with payroll portals and HR software such as Nmbrs, Loket or similar. HBO level education in HR or a related field.

Core Responsibilities

Manage the full employee lifecycle and HR administration, including payroll, contracts, onboarding and offboarding, evaluations, absence cases, and recruitment support. Own and improve HR processes, maintain policy and legal compliance, respond to employee questions, report HR metrics, and automate repetitive administration.

Requirements

Requires proven experience in an HR generalist or HR officer role, including payroll administration, and solid knowledge of Dutch employment law and the Wet improvement of gatekeeper requirements. Candidates should be accurate and discreet, communicate effectively, take a proactive problem-solving approach, and be fluent in Dutch and English; HR education at HBO level and experience with HR software are desirable.
