Job Description

Job Summary: 

The Operations Specialist, Repair plays a key support role in ensuring the smooth daily operations of the repair station. This position is responsible for coordinating maintenance activities, processing spare parts, maintaining records, supporting audits, ordering supplies, and assisting with customer and employee requests. The role requires strong organizational skills, attention to detail, and the ability to proactively manage operational needs while providing backup support to the Station Manager.


Principal Duties & Responsibilities:

Inventory & Spare Parts Management

• Process and check documentation for incoming spare parts and record in the AARS system.

• Maintain and update the Station Inventory List, ensuring proactive follow-up on due dates.

• Order small tools and supplies for the Repair and Yard Supervisors.

• Monitor and order general office supplies, working clothes, welding supplies, and consumables.

• Keep track of sales inventory equipment.

Maintenance & Facilities

• Coordinate maintenance and inspection of tools, vehicles, and equipment, including welding machines, compressors, sewing machines, calibrated tools, roller doors, cranes, forklifts, trucks, and trailers.

• Act as the main contact for suppliers regarding repairs, maintenance contracts, and emergency interventions.

• Oversee building maintenance requests (interior and exterior) and obtain quotes as needed.

• Plan and coordinate mandatory inspections (e.g., APK, compressor, CMM checks) and ensure timely renewals.

• Organize training and refresher courses (BHV, forklift licenses, etc.).

Documentation & Compliance

• Check work orders for completeness and accuracy (non-certifying review).

• Generate and apply barcodes for ULDs.

• Support internal, customer, and ILT audits as required.

• Maintain and update personnel files in collaboration with the Repair Station Manager.

• Monitor supplier certification expiry dates and escalate to QA as needed.

Customer & Internal Support

• Assist Inside Sales & Operations Specialists with issuing documentation for incoming and outgoing equipment, SCM for ACL fleet, and ULD control customers.

• Support invoicing processes for the repair station.

• Provide feedback/testing support to IT team regarding the AARS system.

• Assist in directing and monitoring warehouse staff in the absence of the Repair Station Manager.

Third-Party Station Support

• Ensure that external repair stations carry out work in line with ACL Airshop’s operational and quality standards.

• Review and approve repair actions, including authorization of unit scrapping when necessary.

• Provide the required manuals and technical information to support repair activities at third-party stations.

• Act as the main point of contact for technical questions and operational support.

• Monitor and record the progress of repairs performed by external stations to ensure timely and accurate completion.

• Ensure that ACL Airshop retains all required documentation related to repairs and scrapping activities.

• Notify the ULD Control team of all repairs and updates to maintain accurate equipment tracking.

• Review and approve invoices from third-party repair providers in coordination with the Station Manager and Finance.

• Perform other tasks as assigned.


Required Skills/Competencies/Abilities/Personal Attributes:

• Strong administrative and organizational skills with ability to manage multiple priorities.

• Familiarity with maintenance scheduling, inventory systems, and supplier management.

• Proficiency in MS Office and experience with ERP or maintenance systems (AARS preferred).

• Strong written and verbal communication skills.

• Ability to work independently and take initiative in problem-solving.

• Attention to Detail: Ensures accuracy in records, documentation, and compliance.

• Proactivity: Anticipates upcoming needs and deadlines.

• Collaboration: Works effectively with supervisors, technicians, and sales/operations teams.

Education and Experience:

• Experience in operations, logistics or workshop coordination.

• Familiarity with ULD handling, workshop environments, and maintenance workflows.

Other Requirements:

• Ability to follow standard operating procedures accurately.

• Physical capacity to perform manual handling tasks.

• Role is primarily based indoors in the Repair Shop, with occasional coordination across the 

station.

• PPE must be worn when required in active operational areas.

• Must be able to navigate priorities independently and ensure service quality in a dynamic environment

The Operations Specialist manages daily repair station activities, including inventory control, maintenance scheduling, and supplier coordination. They also ensure compliance with documentation standards and provide operational support to the Repair Station Manager.

Requirements

Candidates should have experience in operations, logistics, or workshop coordination with strong organizational and administrative skills. Proficiency in maintenance systems and the ability to work in a dynamic, hands-on workshop environment are required.
