About The Role We are looking for a proactive and detail-oriented Operations Assistant to join our international Operations team. In this role, you will support daily operational and administrative activities to ensure smooth order processing and high-quality customer support. You will work closely with colleagues across multiple departments, including Sales and Warehouse teams, in a multicultural and collaborative environment. This position is ideal for someone who enjoys structured work, communicates effectively, and takes pride in accuracy and reliability. Responsibilities Process customer orders accurately and efficiently using internal systems and tools Handle invoicing and related administrative procedures in a timely manner Provide customer support by email and phone in German regarding orders, shipments, invoices, and other operational inquiries Coordinate with Warehouse and internal teams, proactively monitor and follow up on open orders, and communicate delays or issues to customers and internal stakeholders Escalate operational issues or customer concerns to the appropriate internal stakeholders when necessary Coordinate order changes, cancellations, and returns, while ensuring that order, shipment, and invoice information is complete and accurate Maintain accurate customer data and documentation in internal systems, including customer registration and order-related updates Support day-to-day operational activities and assist team members when needed Participate in regular team meetings and collaborate with cross-functional teams in an international environment Requirements Fluent in German and strong command of English, both written and spoken Good understanding of German business culture and customer expectations Good knowledge of Microsoft Office, especially Excel (including pivot tables and basic formulas) Strong customer-oriented mindset with a focus on accuracy and quality Ability to process data quickly and accurately with strong attention to detail Able to maintain concentration and consistent accuracy when handling structured and repetitive tasks Comfortable learning and working with different software systems and tools Well-organized, with the ability to prioritize tasks and meet deadlines Flexible and comfortable working in a multicultural environment influenced by Japanese business culture Professional and reliable, with the ability to build and maintain positive working relationships with customers and cross-functional teams Suitable for entry-level to intermediate candidates; previous experience is an advantage but not required Additional language skills are considered a plus Valid EU work and residence permit required Able to commute to Amsterdam Zuidas, the principal place of work Benefits Flexible work options: Hybrid working model Supportive team environment: A culture that values collaboration, learning, and high performance Competitive benefits: Attractive pension scheme, Study finanal scheme, bonus scheme, and 3-4 additional end-of-year holidays in addition to 24 vacation days Well-being perks: Sports/gym subscription allowance Company culture: Friday drinks, kick-off outings, and an end-of-year dinner to connect with colleagues
Core Responsibilities
Process customer orders, invoices, changes, cancellations, and returns accurately, while maintaining customer records and related documentation. Provide German-language customer support and coordinate with warehouse and internal teams to monitor orders, resolve issues, and support daily operations.
Requirements
Candidates must be fluent in German, have a strong command of English, and be comfortable using Microsoft Office, especially Excel. The role requires accuracy, organization, customer focus, and the ability to handle structured tasks in a multicultural environment; prior experience is advantageous but not required, and a valid EU work and residence permit is required.
