As part of the continued growth of our operations in the Netherlands, we are looking for a Logistics Administration Specialist to join our team, based at the facilities of our logistics service provider in Rotterdam. In this role, you will play a key part in ensuring the smooth execution of customer orders, transport coordination, import/export documentation, and logistics administration activities, contributing to operational excellence, regulatory compliance, and outstanding service levels for our customers. Key Responsibilities 1. Order Management & System Registration Receive, validate, and enter customer orders into the system accurately and on time. Review and verify supplier invoices related to logistics and warehousing services. Organize order flow to support production planning and stock allocation. Maintain product configurations, packing formats, and customer‑specific labels in the system. 2. Transport & Delivery Coordination Monitor delivery schedules and transport execution in coordination with logistics service providers. Track outbound shipments and proactively manage deviations, delays, and transportation incidents. Follow up on delivery performance and ensure customer requirements are met. 3. International Documentation & Compliance (Expanded) Review all export/import documentation (Ex. Packing list, B/Ls, Letters of Credit…). Ensure that all documents meet legal, customer, port, and customs requirements. Coordinate with freight forwarders, customs brokers, and shipping lines to guarantee accuracy and timely issue of transport documents. Check and correct draft Bills of Lading and final shipping documents. 4. Import Logistics Coordination Monitor inbound shipments from port to destination facilities and coordinate with logistics partners to ensure timely customs clearance and delivery. Maintain visibility of inbound container status and proactively address potential disruptions. 5. Returns, Rejections & Incidents Manage product returns, customer rejections, and discrepancies. Register issues and coordinate with Quality, Production, and Transport to resolve incidents. Update system records, documentation, and stock adjustments accordingly. 6. Documentation Management & Recordkeeping Maintain all shipping, transport, and administrative documentation in an organized, audit‑ready archive. Ensure full traceability and compliance with internal processes and external regulatory requirements. Requirements Education Bachelor's Degree or Higher Vocational Education (HBO) in Logistics, Supply Chain Management, International Trade, Business Administration, or related disciplines. Experience 1 to 3 years of experience in logistics administration, export operations, international trade, or supply chain coordination. Languages Dutch: Native or full professional proficiency required. English: Professional proficiency required. Portuguese or Spanish: Nice to have.
Core Responsibilities

Review international shipping and customs documentation, maintain audit-ready records, and coordinate the resolution of returns, rejections, and operational incidents.
Requirements
Requires a bachelor's degree or higher vocational education in logistics, supply chain management, international trade, business administration, or a related field. Candidates should have 1–3 years of relevant experience, professional proficiency in Dutch and English, and Portuguese or Spanish is an advantage.
