The Opportunity Our Document Control Team is an integral part of Arup’s commitment to innovation. We develop efficient and often automated solutions that minimise errors while ensuring the highest quality across all projects. You will assist in preparing technical documents and reports for submission, as well as in organizing and reviewing project-related documents. As a Document Controller At Arup, You Will Manage document exchange with clients, service providers, and project teams, including preparation, submission, distribution, tracking, and follow-up of project documentation Maintain project document control systems, ensuring client-specific platforms, filing structures, naming conventions, and document registers are implemented and kept up to date Coordinate document deadlines and workflows across internal and external interfaces, supporting timely reviews, approvals, submissions, and clear written communication between stakeholders Support QA/QC processes by checking that drawings, reports, calculations, and other technical documents are issued in line with agreed formatting, editorial, and quality standards Provide reporting and coordination support to project stakeholders, including preparing status updates, managing distribution lists, assigning document-related tasks, and collaborating with internal and external document managers Does this role inspire you? We are looking for someone who has an eye for detail. We also value: Completed traineeship in a technical, administrative, business, or other related field / equivalent practical experience 3+ years' experience in project environments, ideally with exposure to document control, project documentation, or technical administration Structured and detail-oriented working style, with strong skills in MS Excel (including formulas), Word, and similar digital tools Experience with Common Data Environment (CDE) platforms such as Asite, Autodesk Construction Cloud (ACC), Procore, or Aconex is an advantage Good communication skills and strong written and spoken English; proficiency in Dutch is a plus Why Arup? Core Responsibilities
Manage project document exchange, control systems, registers, deadlines, and workflows across clients, service providers, and project teams. Support quality checks and reporting by ensuring technical documents meet agreed standards and by coordinating reviews, approvals, submissions, and stakeholder updates.
Requirements
Applicants should have completed a traineeship in a relevant field or have equivalent practical experience, along with at least three years of experience in project environments. They should be detail-oriented, proficient in Excel and Word, and have strong English communication skills; experience with CDE platforms is an advantage, and Dutch proficiency is a plus.
