THE TEAM


As part of our Finance & Purchasing team, you will play an important role in ensuring the smooth and efficient flow of goods and services across the hotel. Working closely with operational departments, suppliers, and finance colleagues, you will help support daily procurement activities while maintaining the highest standards of accuracy, compliance, and service. Reporting to the Director of Purchasing, you will contribute to the success of the hotel's operations by ensuring purchasing processes are coordinated effectively and efficiently.


YOUR ROLE


As a Purchasing Coordinator, you will support the end-to-end procurement process, helping to ensure that hotel departments receive the products and services they need in a timely and cost-effective manner. Through strong organizational skills, attention to detail, and effective supplier relationships, you will help maintain purchasing records, process orders, support inventory management, and identify opportunities to improve efficiency. Your contribution will be essential in supporting operational excellence and maintaining the high standards expected within a luxury hospitality environment.


HOW YOU’LL MAKE THE PLACE


  • Coordinate daily purchasing activities and process purchase orders accurately and efficiently.
  • Communicate with suppliers regarding orders, deliveries, discrepancies, and service requirements.
  • Monitor shipments and delivery schedules to ensure timely receipt of goods.
  • Maintain purchasing records, reports, documentation, and filing systems with accuracy and attention to detail.
  • Support inventory management, stock replenishment activities, and departmental purchasing requirements.
  • Utilize procurement systems, including Birchstreet, to manage orders, approvals, and purchasing documentation.


COULD THIS BE YOU?


  • You have experience in purchasing, procurement, supply chain, or a related administrative role.
  • You are highly organized and possess exceptional attention to detail and accuracy.
  • You are proficient in Microsoft Office applications, particularly Excel, and are comfortable working with procurement platforms.
  • You have experience with Birchstreet or similar purchasing systems and enjoy working with technology to improve efficiency.
  • You are a strong communicator who builds positive relationships with suppliers and internal stakeholders.
  • You are proactive, solutions-focused, and enjoy identifying opportunities to enhance processes and improve operational effectiveness.
