We manage complex global supply chains with a strong focus on Asia–Europe trade lanes, operational excellence and customer-centric logistics solutions. Job summary (Scope) The Air Freight Specialist is responsible for supporting the coordination and execution of daily air import and export operations at our Hoofddorp office. This role ensures accurate handling of shipment data, documentation and communication with customers, suppliers and global partners. The Specialist contributes to smooth operational performance by processing shipments in line with internal procedures, resolving basic operational issues, and maintaining reliable and timely updates throughout the shipment lifecycle. What are you going to do? Your responsibilities will include, but are not limited to: Air import and export freight handling & administration in accordance with our internal procedures, including: o Order entry based on incoming pre-alerts o Pick-up arrangement and coordination with trucking partners o Freight consolidation o Billing administration for outgoing and incoming invoices Data entry and milestone updates in TMS/WMS/IWS portal, ensuring accuracy and completeness. Customs process coordination by preparing and forwarding required documents to the Customs brokers and ensuring timely clearance. Cargo tracking & monitoring, including proactive follow-up on shipment status from arrival at the terminal through delivery to the consignee. Customer communication, providing status updates, confirming delivery times. Relationship management with suppliers, airlines/handling agents/terminals and overseas partners to maintain smooth operations and ensure service quality. Exception handling for standard operational disruptions (e.g., minor delays, documentation corrections) and escalation to Senior or Supervisor for complex issues. Performing other assignments as directed by management to support departmental objectives and continuous improvement initiatives. Strong attention to detail and accuracy. Good communication and teamwork skills, with a proactive and hands-on attitude. Willingness to learn and follow SOPs in a structured operational environment. Good time management and prioritisation skills in a dynamic setting. Basic understanding of customs processes is a plus. Proficiency in MS Office (Excel, Word, Outlook); experience with TMS systems is a plus. Good verbal and written communication skills in English; Dutch is a plus. What can we offer you? Core Responsibilities

Coordinate daily air import and export operations, including shipment data entry, documentation, pickup arrangements, freight consolidation, billing, customs coordination, and cargo tracking. Communicate shipment updates to customers and partners, resolve routine operational issues, and escalate complex exceptions to a senior colleague or supervisor.

Requirements

The role is suitable for candidates with 0–2 years of relevant experience; air freight, air cargo training, or logistics experience is beneficial but not required. Candidates should have strong attention to detail, communication, teamwork, time management, and prioritisation skills, proficiency in Microsoft Office, and good written and spoken English; Dutch and basic customs knowledge are advantages.
