Job Summary (Scope) The Ocean Freight Specialist is responsible for supporting the end‑to‑end execution of ocean import and export processes at our Hoofddorp office. This role ensures accurate shipment handling, documentation processing, and timely coordination with customers, carriers, suppliers and international partners. The Specialist contributes to reliable operational performance by following internal procedures, resolving basic shipment issues, updating shipment data, and maintaining clear and professional communication throughout the shipment lifecycle. The position plays an important role in maintaining service quality and supporting the daily operations within the Ocean Freight team. What are you going to do? Your responsibilities will include, but are not limited to: Handle and administer standard ocean import and export freight shipments in accordance with internal procedures and SOPs to ensure timely delivery to final customers. Prepare, manage, and distribute all required ocean documentation (e.g., bills of lading, manifests, commercial invoices, packing lists, customs documents) to relevant parties such as carriers, consignees, suppliers, and customs brokers. Maintain shipment data accuracy by updating milestones and document records in relevant systems and portals. Support the accuracy of cost and revenue entries for each shipment in the TMS. Assist with customs clearance procedures and develop a sound understanding of Incoterms to support operational compliance. Maintain strong working relationships with suppliers and overseas agents, particularly in Asia, to ensure service quality and reliability. Communicate with overseas agents to coordinate shipment details, resolve standard issues, and confirm bookings. Participate in performance and compliance reviews, including vendor KPIs and SOP checks, to support continuous improvement. Support the procurement and coordination of road freight services, including sourcing qualified domestic and international partners for pre- and on-carriage. Learn according to the onboarding plan, apply feedback, and follow updated SOPs to support process improvements. Perform other assignments as directed by management, related to operational and commercial support within ocean freight. Minimum of 3 years of relevant work experience; experience in ocean freight or logistics is required. Strong attention to detail and accuracy. Good communication and teamwork skills, with a proactive and hands-on attitude. Willingness to learn and follow SOPs in a structured operational environment. Good time management and prioritisation skills in a dynamic setting. Basic understanding of Incoterms and customs processes is a plus. Proficiency in MS Office (Excel, Word, Outlook); experience with TMS systems is a plus. Good verbal and written communication skills in English; Dutch is a plus What can we offer you? Core Responsibilities

Handle standard ocean import and export shipments, prepare and distribute shipping and customs documentation, maintain accurate shipment records, and support cost and revenue entries in the transportation management system. Coordinate with customers, carriers, suppliers, overseas agents, customs brokers, and road freight partners while following procedures and supporting service quality and compliance.

Requirements

Applicants must have at least three years of relevant experience, including experience in ocean freight or logistics, and demonstrate accuracy, communication, teamwork, time management, and a proactive approach. English proficiency and MS Office skills are required; knowledge of Incoterms and customs processes, TMS experience, and Dutch language skills are advantageous.
