Description
Key Responsibilities
- Handle and convert meeting room requests
- Handling incoming emails, phone calls and chats
- Organizing role in preparation for all groups and meetings
- Handle general questions and issues about inhouse groups and meetings
- Check, send out and chase open payments
- Collect, distribute and answer to feedback about the experiences of the guests
- Assist with other projects and (administrative) activities
- Create SOP’s
- Do after sales calls - cross and upsell activities
Qualifications / skills
- Relevant admin or customer service experience
- Organizational skills with ability to prioritize and eye for detail
- Customer focussed
- Pro-active individual who shows initiative
- Fluent in spoken and written English and preferably another language (French, Italian)
Leiden Support Office. Hybrid working is possible, 2/3 days in the office per week.
This is a part-time role, 32 hours/week over 4 days
Start date = ideally November 2026. This is a temporary position, maternity leave cover.
Duration = 5 or 6 months

Core Responsibilities
The coordinator is responsible for managing meeting room requests, handling communications with hotels and organizers, and performing administrative tasks. They also support the team with data entry, project assistance, and after-sales activities to ensure a high-quality guest experience.
Requirements
Candidates should have relevant administrative or customer service experience and strong organizational skills. Proficiency in English is required, with preference given to those who also speak French or Italian.
