Job Description

Description Working in the Business Support team, the office assistant will ensure that tasks necessary to maintain smoothly running days are accomplished. In this parttime workweek position, many tasks are routine so self drive and creativity are important to keep the function fun and fulfilling. The successful candidate is expected to physically be at work every morning of the work week from 8:30am, with an end time anywhere from 11:30 to 13:30 to complete a 20-hour workweek, depending on the duties of the day. Remote work will not be possible. Responsibilities Daily Operations Maintain the cleanliness, organization, and overall functionality of office and common areas. Support the upkeep of shared kitchen, break, and recreation spaces. Monitor and maintain office equipment and facilities to ensure smooth day-to-day operations. Assist with general office maintenance and workplace readiness. Inventory & Supplies Management Manage inventory levels of office, kitchen, and facility supplies. Coordinate the ordering and replenishment of consumables, stationery, and other operational necessities. Ensure shared areas are adequately stocked and maintained. Facilities & Workplace Maintenance Support facility maintenance activities and liaise with service providers as needed. Assist with waste management, recycling, and sustainability initiatives. Coordinate the care and maintenance of workplace furnishings, equipment, vehicles, plants, and other company assets. Hospitality & Employee Experience Assist with hosting visitors, guests, and external stakeholders. Support the planning and execution of company events, meetings, and employee engagement activities. Help create a welcoming, safe, and well-functioning workplace environment. Administrative & Operational Support Provide general operational and administrative support across the organization. Assist with logistics, transportation, and errands as required. Provide coverage for team members during absences and support ad hoc business needs. Undertake additional duties and special projects as assigned. Qualifications Demonstrated relevant experience in an office setting with the ability to understand the dynamics of a fast-moving company A friendly disposition and happy, nurturing nature Desired Experience Hospitality background is a plus. The successful candidate will own several tasks with guidance and support. Curiosity about space Key Skills Organization and inclination to be orderly and neat Practical knowledge of how to maintain an establishment with many members Must have a valid driver’s license as well as the ability and willingness to drive company vehicles Basic familiarity with Microsoft Office and willingness to learn new applications English-speaking is a must; Dutch-speaking is a plus Note that the role is a permanent position that will start with a fixed-term contract of 12 months. Maintain clean, organized, stocked, and functional office and shared spaces, including coordinating supplies, facilities upkeep, waste management, and care of company assets. Provide hospitality, event, administrative, logistics, and general operational support, including covering for colleagues and handling ad hoc tasks.

Requirements

Relevant office-setting experience, an organized and practical approach, a friendly and nurturing disposition, and the ability to work independently with guidance are expected. A valid driver's license and willingness to drive company vehicles are required, along with basic Microsoft Office familiarity; English is required and Dutch is a plus.
