Job Description

THE POSITION As a Technical Admin Officer, you are primarily responsible for the management and administration of ship certificates within Van Oord’s fleet. You ensure that certificates are accurate, complete and up to date, and that they comply with applicable internal standards and external regulations. You verify incoming information for clarity, consistency and completeness, follow up on missing or incorrect information and ensure that technical files are properly maintained and archived. You assist with the registration and administration of vessels In addition to certificate management, you support other technical and administrative activities, You respond to and process incoming technical and administrative queries and communicate proactively with internal departments and, where necessary, external parties about documentation requirements and administrative procedures. You may also support the coordination of meetings, inspections and logistics related to technical operations, including the preparation of documents and follow-up actions. YOUR WORKPLACE You will be part of the Ship Management Department at Van Oord, working closely with colleagues from different departments and disciplines. Your role connects technical information, administration and operations, giving you a broad view of what is happening across the organisation. You will mainly work from Van Oord’s office in Rotterdam, in a professional and international environment where colleagues work together to support our vessels and projects around the world. You will have regular contact with internal stakeholders and, where necessary, external parties. The combination of office-based work, collaboration with different teams and close connection to the technical organisation makes this a varied role where your contribution directly supports the smooth running of our operations. Staying up to date with applicable rules and regulations, internal procedures and system updates is an important part of your role. You participate in training and development activities to ensure that your work remains aligned with Van Oord’s standards. YOUR IMPACT As a Technical Admin Officer, you ensure that colleagues across departments are informed, supported and equipped with accurate and timely information. You Maintain and manage technical and administrative data and documentation. Check information for accuracy, consistency and completeness and resolve discrepancies where necessary. Respond to and process technical and administrative queries. Communicate with internal stakeholders and external parties where necessary. Prepare documents and follow up on administrative actions. Keep up to date with relevant regulations, internal procedures and system developments. Contribute to improving the quality, efficiency and consistency of technical administration processes. By maintaining strong working relationships and a service-oriented mindset, you help create a well-informed, collaborative and high-performing technical environment. About You You are organised, accurate and service-oriented. You enjoy working with information and making sure that data and documentation are complete and reliable. You communicate easily with different stakeholders and are proactive in asking questions when information is unclear or incomplete. You are able to work independently and keep an overview of multiple administrative processes, while also knowing when to involve colleagues or other stakeholders. In addition, you bring A relevant MBO/HBO level of education, preferably in a technical, administrative or maritime field. Experience in a technical administrative role or a similar working environment. Strong organisational and administrative skills. An accurate and structured way of working. Excellent command of both Dutch and English, both verbally and in writing. Affinity with technical documentation, data and administrative systems. A proactive and service-oriented attitude. The ability to work with different stakeholders and departments. The willingness to learn and develop your knowledge of technical processes, systems and regulations. Requirements

A relevant MBO/HBO-level education, preferably in a technical, administrative, or maritime field, and experience in technical administration or a similar environment are requested. Candidates should have strong organisational and administrative skills, accuracy, proficiency in Dutch and English, familiarity with technical documentation and administrative systems, and a proactive, service-oriented approach.
