Job Description

As G,C&E Planning Coordinator, you will be part of our Groups, Conference & Events (GC&E) team, working for our three cluster hotels in the Netherlands. In this dynamic role, you are responsible for the planning and coordination of a wide variety of meetings, group stays and events.

 

From the moment an event is confirmed, you become an important point of contact for our clients. You listen to their wishes, translate these into detailed event arrangements and work closely with the operational teams to ensure every detail is taken care of.

 

With your eye for detail, commercial mindset and passion for hospitality, you make sure our clients and guests receive excellent service while also identifying opportunities to make their event even more successful.

Responsibilities

What will you be doing?

  • Planning, coordinating and organizing meetings, group stays, conferences and events.
  • Acting as an important point of contact for clients throughout the planning process and ensuring professional, friendly and timely communication.
  • Understanding our clients' wishes and translating these into detailed event arrangements.
  • Preparing and distributing Banquet Event Orders (BEOs), alterations, daily overviews and other relevant event documentation.
  • Coordinating rooming lists, meeting spaces, bookings and other event-related details.
  • Working closely with the operational departments to ensure a smooth handover and successful execution of each event.
  • Organizing and leading BEO meetings with the operational departments of the hotel.
  • Conducting pre-conference meetings with clients and internal teams before events.
  • Welcoming clients and event organizers on property and ensuring they feel well taken care of throughout their event.
  • Conducting Take5 meetings with organizers after events to gather feedback and further strengthen client relationships.
  • Actively identifying and creating upselling opportunities during the planning phase.
  • Supporting the G,C&E Sales team with site inspections and conducting site inspections for walk-in clients when required.
  • Coordinating internal events and supporting the sales and planning of smaller external events.
  • Monitoring deposit invoices and payments and ensuring these are complete and received on time.
  • Ensuring all required information is entered correctly and completely into the relevant systems.
  • Preparing reports, statistics and other administrative documentation.
  • Supporting, training and guiding trainees within the G,C&E department.
  • Participating in sales and marketing activities, departmental meetings and relevant training sessions.
  • Building and maintaining strong relationships with colleagues across all hotel departments and contributing to a positive and professional working environment.

Qualifications

  • You have a passion for hospitality, events and creating memorable guest experiences.
  • You are highly organized, accurate and have a strong eye for detail.
  • You are an excellent communicator and enjoy building relationships with clients and colleagues.
  • You are proactive, solution-oriented and able to remain calm and organized in a dynamic environment.
  • You are able to manage multiple events, priorities and deadlines at the same time.
  • You have a commercial mindset and naturally recognize opportunities for upselling and maximizing revenue.
  • You enjoy working together with different departments and are a true team player.
  • You take ownership and feel comfortable making decisions within your area of responsibility.
  • You have experience within hospitality, events or a similar environment. Previous experience within Groups, Conference & Events is an advantage.
  • You communicate confidently in English, both verbally and in writing. Dutch is considered a plus.
  • You are flexible and willing to work different shifts when the operation requires it.
  • You must be eligeble to work in The Netherlands
