About the role
 

We are looking for a candidate who is available immediately or at short notice.
 

The International Baccalaureate (IB) is looking for an experienced and highly organized Conferences Registration Associate Manager to manage registration for global conferences and events.
 

You will oversee and handle the full registration process, from setting up registration systems and managing participant communication to onsite delivery and final financial reconciliation. Working with colleagues and external partners across different regions, you will help provide a smooth and professional experience for conference participants worldwide. 
 

Responsibilities

  • Manage and set up registration systems and processes for global, virtual and hybrid conferences.
  • Coordinate participant communication and respond to stakeholder enquiries, including managing high-volume communications and automated response processes.
  • Oversee and set up onsite registration, including supplier coordination, contracting, training, and troubleshooting.
  • Support with the conference app and lead integration with other event platforms, when needed.
  • Use registration data to produce reports, forecasts and insights that support planning and decision-making.
  • Work with Finance on income reporting, invoicing and event reconciliation.
  • Manage service providers and support continuous improvement and automation of registration processes.
  • Lead a small team and collaborate effectively across a globally distributed conference team.
  • Travel internationally to support the planning and delivery of conferences, including occasional weekend work (20-30%).

Qualifications

  • A bachelor’s degree or an equivalent combination of education, training and experience.
  • Approximately 5 to 8 years of relevant experience in conference or event registration.
  • Available per mid November 2026
  • Experience in events, conferences, or large-scale event delivery is strongly preferred
  • Experience with registration or ticketing systems, such as Cvent or Eventbrite and Salesforce. 
  • Strong organisational, analytical and project management skills.
  • Experience with financial reporting, forecasting and event reconciliation.
  • Excellent customer service, communication and stakeholder management skills.
  • Strong IT skills, including Excel, databases, registration systems and Salesforce.
  • Fluency in English. French, Spanish or another language would be an advantage.
  • The ability to manage several events and priorities in a fast-paced, multicultural environment.
  • Willingness to travel internationally, including occasional weekends.

Core Responsibilities

You will manage the end-to-end registration process for global conferences, including system setup, participant communication, and onsite delivery. Additionally, you will oversee financial reconciliation, reporting, and lead a small team to ensure a professional experience for all attendees.

Requirements

Candidates must have a bachelor's degree and 5 to 8 years of relevant experience in conference or event registration. Proficiency in registration software like Cvent or Salesforce, along with strong analytical and organizational skills, is essential.
