Mission of the job

 

The QHSE Coordinator supports the QHSE Manager in the coordination, administration and follow-up of Quality, Environment, Health and Safety (QHSE) activities at site level. The role ensures accurate documentation, action tracking, reporting and operational support for QESH processes. The QESH Coordinator facilitates effective follow-up of QESH actions across departments while ownership, decision-making and governance remain with the QHSE Manager.

 

Responsabilitites:

 

QESH Administration & Documentation

  • Maintain QHSE procedures, records, forms and documentation in the relevant systems.
  • Ensure QHSE documentation is accurate, up to date and readily available.
  • Support the registration and follow-up of incidents, audit findings, non-conformities, complaints, CAPAs and improvement actions.
  • Maintain document control and support compliance with internal and external requirements.

Action Tracking & Operational Follow-up

  • Coordinate and monitor the progress of QHSE-related actions with the relevant departments.
  • Follow up open actions and ensure timely updates in the applicable systems.
  • Escalate overdue actions, recurring issues or implementation delays to the QHSE Manager.
  • Prepare status reports, action overviews and meeting inputs to support QHSE reviews and operational follow-up.

Quality & Complaint Support

  • Support the handling of customer complaints, supplier complaints, non-conformities and quality incidents.
  • Collect information, prepare investigation files and maintain related records.
  • Support the follow-up of corrective and preventive actions and verification activities.
  • Assist in maintaining quality documentation, specifications and records where required.

Safety, Environment & Compliance Support

  • Support safety, environmental and compliance activities through administration, documentation and follow-up.
  • Assist in the preparation of inspections, audits and compliance reviews.
  • Maintain records related to risk assessments (RI&E), LOTOTO documentation, work permits, safety observations and QHSE action plans.
  • Support follow-up of agreed actions resulting from audits, inspections or incidents.

QHSE Systems & Data Management

  • Maintain data quality and accuracy in QHSE systems and databases (e.g. SAP, Digisafe or equivalent).
  • Prepare QHSE reports, KPI updates and performance summaries.
  • Ensure timely and accurate registration of QESH events, actions and records.
  • Support users in maintaining complete and accurate QESH information.

Audits & Continuous Improvement Support

  • Support the preparation and coordination of internal, customer, certification and regulatory audits.
  • Assist with the collection of evidence and documentation required during audits.
  • Track audit actions and support timely closure.
  • Identify administrative and process improvement opportunities and support implementation of practical improvements.

Site & Business Support

  • Support the QHSE Manager, laboratory team and other departments with reports, training records, presentations and meeting preparation.
  • Provide practical support for QHSE communication and awareness activities.
  • Collaborate with operations, supply chain, technical and other functions to ensure effective follow-up of QHSE activities.
  • The QHSE Coordinator supports QHSE processes and action follow-up but does not hold ownership of QHSE governance or decision-making responsibilities

     

 

 

Qualifications:

 

Hard Skills

  • Knowledge of QESH processes and compliance requirements.
  • Document control, incident reporting and CAPA follow-up.
  • Support with audits, inspections and complaint handling.
  • QESH reporting, KPI tracking and data management.
  • Experience with SAP, Digisafe or similar systems.
  • Good command of Microsoft Office, especially Excel.
  • 2–4 years of relevant experience in a QESH, Quality or HSE support role.
  • Experience in an industrial, manufacturing, food, feed or chemical environment is preferred.
  • Experience with documentation, audits, CAPAs, complaints and action tracking.

Soft Skills

  • Structured, accurate and detail-oriented.

Candidates should have 2–4 years of relevant experience in a QESH, Quality, or HSE support role, preferably within an industrial or manufacturing environment. Proficiency in Dutch and English, along with experience in document control and systems like SAP or Digisafe, is required.
