Since it came together in 2004, the DSCC has worked to raise awareness, prompt debate, and secure international agreements and regulations to protect deep-sea ecosystems and biodiversity. In so doing we have set important precedents for wider ocean conservation. From a strong base of knowledge, and a network and reputation in deep-sea advocacy and science, we mobilize and coordinate civil society advocacy efforts nationally, regionally and globally. The DSCC represents or collaborates with the vast majority of the expertise on deep-sea biodiversity, conservation and policy. The DSCC has a Secretariat that is in charge of strategy, coalition & membership coordination, operations, finances, HR,, IT and fundraising. The Secretariat comprises the Executive Director, Operations Director, an IT specialist and an Administrative Assistant. We are now looking for a Finance Support Officer (Consultant) to join this team. This role should ideally be Netherlands based, or within 2 hours either side of the CET zone. Responsibilities: This newly created role will support the DSCC in the daily management of the finances. Reporting to, and working closely with, the Operations Director, the Finance Support Officer will look after outgoing payments; track payments incoming and outgoing; and both conduct and ensure excellent, timely bookkeeping to allow the Secretariat to keep detailed overview of the organization's finances. The role further includes making reports for review and analysis and keeping track of grants and budgets. It will liaise with our external agency, Ernst and Young, for monthly reporting and reconciliations. In addition, the Finance Support Officer will be expected to take a proactive role in further strengthening DSCC internal systems and processes, to make them more efficient where possible. Deliverables 1. On a weekly basis, log and process all incoming invoices and provide support to the DSCC finance process: a) Management and tracking of the inbox where all Invoices are received ([email protected]) b) Acknowledge receipt and payment of invoices c) Check invoices against contracts and log them against provided spreadsheets (hourly rates, amount of days, expenditures, receipts) d) Invoice payment through ING and/or Wise bank accounts e) Tracking on agreed/contractual incoming and outgoing moneys f) Monthly reporting to Ernst and Young (gathering of all transactions, including bank reports and credit card statements from ING and Wise). 2. Support the process of the annual accounts in compliance and time with Dutch legal requirements and the annual audit process to ensure requirements are satisfactorily met. 3. Quarterly Reporting: a) An update on the expenditure against each grant up until the last prior month. b) A cumulative overview/spreadsheet of all invoices come in, amounts and where they have been allocated; c) An overview of any missing contracts, agreements or invoices to be matched against income and expenditure; d) A revised cash flow forecast. 4. Assist with general financial and organizational questions that touch financial matters. 5. Attend calls as and when required/appropriate. 6. Other tasks, as mutually agreed. These tasks will be reviewed to ensure a smooth, secure, efficient and functional finance system, and may change over time. Experience ● 3+ years' experience in a finance, bookkeeping, finance administration or grants-finance role, preferably within an NGO, charity, foundation or other grant-funded organisation. ● Hands-on experience processing supplier invoices, consultant invoices, expense claims and payments. ● Experience maintaining accurate financial records and performing bank/payment reconciliations. ● Experience working with restricted/project funding, including coding expenditure against projects, grants, donors or cost centres. ● Experience checking expenditure against approved budgets ● Experience supporting the preparation of financial information and supporting documentation for month-end, year-end, audits and donor reporting. ● Strong practical experience with Excel and Google Sheets ● Experience working with colleagues remotely. Competencies ● Process minded, with a commitment to accuracy and compliance ● Discretion and impeccable integrity ● Strong oral and written communications skills in Dutch and English Days This role is expected to occupy approximately eight (8) hours per week. Additional time (up to 2 to 4 extra days the first month) may be required to get settled in. Location Strong preference for Netherlands based, or within 2 hours either side of the CET zone. The Finance Support Officer is responsible for a professional workspace to work from, in either a home office or (co)working space.

Core Responsibilities

The Finance Support Officer will manage daily financial operations, including processing invoices, tracking payments, and conducting bookkeeping. They will also prepare financial reports, monitor grant budgets, and ensure compliance with audit requirements.

Requirements

Candidates must have at least 3 years of experience in finance, bookkeeping, or grant administration, preferably within an NGO or non-profit setting. Proficiency in Excel, Google Sheets, and strong communication skills in both Dutch and English are required.
