About The Role As our Office Manager, you will play a key role in making sure BlueHeart Energy’s workplace runs smoothly every day and remains a welcoming, organized, and efficient environment for employees and visitors. This is a part-time position for 24 hours per week, ideal for someone who enjoys taking ownership of a workplace and creating an environment where people have everything they need to do their best work. You will take ownership of the day-to-day office operations, from workplace organization, lunches, groceries, and office supplies to deliveries, facilities, maintenance coordination, and external suppliers. You will also support workplace safety administration and help ensure our shared spaces are functional, well maintained, and ready for employees each working day. This is a hands-on role for someone who enjoys creating order, anticipating what people need, and taking ownership of the practical details that make a workplace run effectively. What You’ll Do Own the day-to-day operations and organization of the office, ensuring a welcoming, efficient, and well-maintained workplace. Coordinate groceries, lunches, pantry supplies, and other workplace services, adjusting orders based on office attendance and needs. Receive, store, and organize deliveries, groceries, office supplies, and other incoming goods. Coordinate daily lunch arrangements and ensure the kitchen and canteen remain clean, stocked, organized, and functional. Maintain inventory of office supplies, kitchen supplies, and workplace essentials, proactively placing orders when required. Keep shared spaces, storage areas, refrigerators, freezers, dishwashers, and other communal facilities organized and operational. Coordinate maintenance activities and work with external suppliers and service providers to resolve workplace issues efficiently. Support general workplace logistics, including waste, recycling, and return processes. Support workplace safety administration by maintaining relevant records and assisting with inspections, audits, and other safety-related activities. Identify practical improvements to office operations and proactively address issues before they disrupt employees or visitors. What We’re Looking For Previous experience in office management, workplace operations, facilities coordination, hospitality, administration, or a similar hands-on role. Strong organizational skills and the ability to manage multiple day-to-day priorities independently. A proactive and practical mindset, with the ability to identify what needs to be done and take ownership without requiring close supervision. Strong attention to detail and a consistent approach to maintaining an organized and well-functioning workplace. Good communication and interpersonal skills, with a service-oriented approach when supporting employees, visitors, suppliers, and external partners. Confidence coordinating suppliers, deliveries, maintenance activities, and workplace services. Ability to manage stock, ordering, and routine operational activities responsibly within agreed budgets and processes. Comfortable working in a dynamic scale-up environment where priorities can change and flexibility is important. Good command of English; Dutch would be an advantage. What We Offer Salary range between €2,900 - €3,800 gross per month on a full-time equivalent (FTE) basis, depending on experience.
