Order Processor

Location, Hoevelaken, Netherlands

European Operations 

Reports to: European Logistics and Procurement Manager

ROLE PURPOSE

Process European customer and intercompany orders accurately and on time in SAP. Coordinate the daily order flow with customer service, planning, procurement, finance, service, warehouse operations and the 3PL provider. Ensure deliveries are released correctly, EDI messages are followed up and order or delivery issues are resolved or escalated on time.

 

A. Main Objectives

  • Process customer and intercompany orders accurately and on time.
  • Maintain clear visibility of open orders, stock availability, shipping dates and delivery risks.
  • Monitor the delivery and EDI flow with the 3PL provider and follow up exceptions promptly.
  • Keep relevant colleagues informed and escalate unresolved issues on time.
  • Support practical improvements to daily order-processing procedures.

 

B. Main Responsibilities

Order processing

  • Review approved customer and intercompany orders for completeness and accuracy.
  • Create and manage delivery documents in SAP and release approved deliveries to the 3PL provider.
  • Monitor EDI messages and follow up missing, rejected or incorrect transmissions with the relevant teams.
  • Check open orders in SAP and correct missing or incorrect operational information.
  • Prioritize urgent orders and coordinate partial shipments, backorders and escalations.
  • Create authorized software license keys or codes in approved Mindray systems for equipment upgrades.

Communication and delivery follow-up

  • Inform customer service teams proactively about lead times, stock, shipping dates and delivery risks.
  • Work with Customer Service, Planning, Procurement, Finance, Service, warehouse operations and the 3PL provider to solve issues.
  • Follow up daily shipment, delivery and rework questions with the 3PL provider.
  • Investigate delivery exceptions and coordinate timely resolution with local offices and logistics partners.

Reporting and improvement

  • Prepare delivery forecasts and operational reports using SAP, Excel and PowerPoint.
  • Keep order, delivery and status information accurate and up to date.
  • Identify recurring problems and suggest practical process improvements.

 

C. Decision-Making

Makes day-to-day operational decisions within company procedures and system authorizations. Commercial decisions, policy exceptions and high-risk or unresolved issues must be discussed with the European Logistics and Procurement Manager or the relevant authorized colleague.

Education and experience

MBO-4 or equivalent level, preferably in business, logistics or supply chain. Relevant experience in order processing, logistics, customer service or supply chain is preferred but not essential.

Systems

Experience with SAP or another ERP system is preferred. Good Microsoft Office skills, especially Excel, and willingness to learn EDI and 3PL-related processes.

Languages

Professional working proficiency in English. Dutch is preferred but not required.

The Order Processor is responsible for accurately managing customer and intercompany orders within SAP while coordinating with logistics, planning, and 3PL providers. They must monitor delivery flows, resolve order issues, and provide proactive communication regarding stock and shipping status.

Requirements

Candidates should have an MBO-4 level education or equivalent in business, logistics, or supply chain management. Proficiency in SAP or similar ERP systems and Microsoft Office, particularly Excel, is preferred along with strong organizational and communication skills.
