Job Description

Position Title Business Manager Reporting To CEO / Board of Directors Location Nijmegen / Hybrid FTE / Hours 16 hours / week Education Level HBO / Bachelor’s Degree (University of Applied Sciences) 1. Purpose of the Position The Business Manager is responsible for reliable, timely, and structured financial administration, as well as daily support and execution of the Quality Management System (QMS) for BioMed Elements and its 3 subsidiaries in the Netherlands and the United States. The position combines two main areas of responsibility: · Financial and Business Administration: Processing and managing the financial administration in Exact Online, accounts receivable and payable management, reporting, and supporting management with financial planning. · Quality Management: Maintaining administrative processes such as purchasing and sales. As such, the position serves as an essential bridge connecting Finance, Operations, Quality, and Management. 2. Key Responsibilities A. Financial Administration · Managing and verifying the daily financial administration in Exact Online. · Processing purchase and sales invoices. · Monitoring accounts receivable and accounts payable. · Processing and checking bank transactions. · Preparing periodic management reports. · Collecting and structuring financial information for projects and subsidies. · Identifying opportunities to further automate and improve administrative processes. B. Quality Administration · Supporting the Quality Manager / Board of Directors in maintaining and continuously improving the QMS. · Independently executing the purchasing and sales processes. · Maintaining supplier qualification records. · Automating administrative work wherever possible. · Improving integration between Finance, Operations, and Quality. · Ensuring clear and efficient workflows. · Reducing manual administrative tasks. · Supporting the digitalization of the QMS and overall business administration. 3. Job Requirements Education · HBO (Bachelor's degree) working and thinking level, preferably in Business Administration or Finance/Accounting. Experience · 3–5 years of relevant work experience. · Experience with Exact Online. · Experience in an international organization is preferred. · Experience working in a dynamic/changing environment; the organizations are growing rapidly and require adaptability. Knowledge & Skills · Strong written and verbal command of both Dutch and English. 4. Core of the Role The ideal candidate is an accurate, independent, and practical professional who feels comfortable in a small, international medical device organization. This is explicitly not a role restricted solely to financial administration. The strength of the position lies precisely in combining Finance + Administration + Quality + Process Management across 2 Dutch and 2 American entities. In the US, there is 1 employee who reports to you. The candidate ensures that the financial administration is accurate, the quality system is properly maintained, actions are followed up, and the organization remains demonstrably compliant and well-organized.

Core Responsibilities

The role manages financial administration and reporting using Exact Online for multiple entities in the Netherlands and US. Additionally, it supports the Quality Management System (QMS) by executing purchasing and sales processes and improving administrative workflows.

Requirements

Requires a Bachelor's degree in Business Administration, Finance, or Accounting with 3-5 years of relevant experience. Proficiency in Exact Online and fluency in both Dutch and English are essential.
