Ready to turn governance coordination into real-world impact? As part of EPI’s General Secretariat, you will support the smooth running of Board, Committee and shareholder activities. You will coordinate governance processes, prepare high-quality materials and documentation, and help ensure EPI’s governance framework operates efficiently, consistently and with the highest standards of confidentiality.

🐝 About the team

You will join the General Secretariat and report to the General Secretary. The team works at the heart of EPI’s governance agenda, partnering closely with the Board of Directors, Board Committees, shareholders, the Management Team and cross-functional leaders across Europe to ensure governance activities are well prepared, documented and followed through.

💥 Your impact

  • Act as a key coordinator for the Board of Directors, Board Committees, and shareholders, ensuring efficient governance and high-quality decision-making

  • Lead the preparation and management of Board packs, governance documentation, reports, and meeting follow-ups

  • Organize and support Board, Committee, AGM, EGM, and shareholder meetings from planning through execution

  • Maintain accurate governance records, corporate documentation, action logs, and governance calendars

  • Support shareholder relations, director onboarding, Fit & Proper processes, and corporate governance initiatives

  • Contribute to strategic governance projects, including capital increases and the ongoing enhancement of EPI's governance framework and processes

💻 Technology stack

  • Primary: Microsoft 365 Suite, Document management systems (e.g. SharePoint)

  • Secondary: Governance management platforms (e.g. DiliTrust, Diligent)

🕵🏻‍♀️ To succeed, you should meet at least 70% of these requirements

  • 3-5 years of professional experience in corporate governance, company secretariat, PMO, legal operations, or a similar corporate function

  • Bachelor's or Master's degree in Law, Business Administration, Political Science, or a related field

  • Fluent in English (CEFR C1 or C2); French, German, Dutch, or other European languages are a plus

  • Thrive in a remote-first, multicultural environment

  • Strong organizational and project management capabilities, with the ability to coordinate multiple governance activities and stakeholders simultaneously.

  • Excellent attention to detail, combined with a structured and process-oriented mindset.

  • Proven ability to manage sensitive and confidential information with discretion and professionalism.

  • Strong stakeholder management skills and experience coordinating across multiple functions and seniority levels.

  • Self-driven, reliable, and comfortable operating autonomously in a fast-paced and evolving environment.

Nice to Have

  • Experience supporting Boards of Directors, Executive Committees, or shareholder governance activities.

  • Company secretariat experience within a corporate environment.

  • Experience working in financial services, payments, fintech, or other regulated industries.
